Why invoice workflows are a PDF problem
Most invoices you receive arrive as PDFs — and most accounting systems want structured data. The gap between those two facts is where hours disappear every month: copying amounts into spreadsheets, renaming files for archive, compressing attachments because your email server has a 10 MB limit, reconciling line items against purchase orders. PDF Genie's toolkit is built around that exact workflow. The star of the show is the AI Invoice Extractor, which reads any invoice format — supplier template, multi-language, multi-currency, VAT or GST — and returns clean structured JSON you can drop straight into Sheets, QuickBooks, or your ERP. Once extraction is done, the rest of the pipeline is a compose of familiar tools: merge, compress, convert.
From PDF to Excel in two clicks
Many accounting systems live in Excel or Google Sheets. The fastest path from a stack of invoice PDFs to a reconciled spreadsheet is our Invoice Extractor followed by the CSV export — every line item, every header field, typed correctly. If the invoice is already tabular (e.g. a statement with many line rows), the PDF to Excel converter preserves the grid structure directly. Combine the two for messy inbound invoices and clean outbound ones.
Merging a month of invoices
For quarterly tax filings and vendor audits, you often need every invoice from a period concatenated into one PDF. Merge PDF handles this browser-side, preserving searchable text and embedded fonts across every source file. For legal-grade packaging, add Bates numbering so auditors can cite each page unambiguously.
Sending invoices by email
Most corporate email servers reject attachments over 10-25 MB. Compress PDF with the Recommended preset typically cuts invoice file size by 50-70% with no visible quality loss — image-heavy invoices with scanned receipts can shrink 90%+. The compression runs in your browser so sensitive invoice data never touches a server.
FAQ
Does the Invoice Extractor work on scanned invoices?⌄
Fully scanned PDFs need OCR first — run OCR PDF on them, then feed the result to Invoice Extractor. Invoices that are half-scanned half-digital (hand-signed + typed body) usually extract fine without OCR.
Can I get line items out as CSV directly?⌄
Yes — the Invoice Extractor includes a CSV download that includes every line item row with proper decimal typing for amounts, so Excel or Sheets sum it correctly on open.
Is there a bulk extraction mode?⌄
Bulk processing is on the Pro roadmap. For now, batch through multiple invoices one at a time; the AI call takes 5-15 seconds per invoice on average.
